Making AI a shared working practice

Using AI and working well with AI require different capabilities. A useful starting point is one real task that a team can examine together.

Connect capability to the work

I organize a team’s AI capabilities around three areas of development: AI Literacy, AI Productivity, and AI Builder. Literacy is understanding capabilities and limits. Productivity means putting that understanding to work in everyday tasks. Builders design the workflows and integrations that support the team. Learning goals follow people’s responsibilities.

Agree on one small task

Consider turning meeting notes into a task list. I suggest first agreeing on the information a useful task record needs: an owner, a due date, the source of the decision, and any uncertainty. The team can then try several approaches using the same example.

Include review in the workflow

The method should also identify who reviews the output and when it needs another pass. A useful starting measure is the effort required to turn an output into something the team can actually use. Tracking that effort alongside the task itself makes learning more concrete and helps turn an experiment into a repeatable working habit.
